The short answer
Use Zapier or n8n when the work is a known sequence of steps (a trigger, some field mapping, an action), the data is structured, and someone on your team will build and look after the workflow. They are self-serve, fast to start, and cheaper per run. Both now also offer AI agent steps and human approval.
Use OpsAgents AI when you want a result owned end to end, such as a qualified sales pipeline, screened candidates or reconciled invoices, and the work is unstructured and needs judgement. We build, run and supervise the agent for you under the SOSA framework, with per-client isolated deployments available.
Use both when you need plumbing and judgement together. A Zap or an n8n workflow can move the data, and an OpsAgents AI agent can make the decisions.
We win on judgement and supervision, not on price per task.
Side-by-side comparison
Zapier and n8n entries describe their public documentation; numbers in brackets link to the sources at the end of the page.
| Dimension | Zapier | n8n | OpsAgents AI |
|---|---|---|---|
| What you get | A self-serve automation platform. You build Zaps from triggers and actions, and can create AI agents with Zapier Agents.[4] | A workflow automation platform with an AI Agent node that connects a chat model to tools.[6] | A hired agent (for example SDR, recruiter or finance clerk) that owns a business outcome. |
| Setup model | You build it yourself in Zapier's editor. | You build it yourself in n8n's editor, on n8n Cloud or on your own infrastructure.[5] | Done for you. We scope one workflow, build the agent and connect it to your systems. |
| Unstructured work | Possible with AI steps and Zapier Agents. You write the instructions and guardrails.[4] | Possible with the AI Agent node, which decides which connected tools to call. You design the prompts and tools.[6] | The core use case: email, documents and conversations that need a judgement call. |
| Human in the loop and supervision | The Human in the Loop step pauses a Zap so reviewers can approve, decline or edit data before it continues.[2] | Human review can be required before an AI Agent runs selected tools. A reviewer approves or denies each call.[7] | SOSA (Supervised Orchestrated Secured Agents) governs every agent action: supervised, orchestrated and security-bounded. How SOSA works. |
| Failure handling | Autoreplay can re-run errored Zap runs automatically on paid plans, and errored steps can be replayed.[3] | An error workflow, started by the Error Trigger node, runs when a linked workflow fails.[8] | We operate the agent in production and handle its failures and escalations; you get the outcome, not the error queue. |
| Pricing model | Billed by tasks used per month. A free plan is available.[1] | n8n Cloud is billed by workflow executions. The self-hosted Community edition is free.[5][9] | Per agent, per month, plus done-for-you setup. Sales/SDR agent $249/mo, Support agent $199/mo, Leads agent $149/mo. Full pricing. |
| Who maintains it | Your team maintains the Zaps and agents; Zapier runs the platform. | Your team maintains the workflows, and also the servers if self-hosted.[5] | We do. The agent is built, run and improved by the OpsAgents AI team. |
When Zapier or n8n is the better choice
- The steps are fixed. "When a form is submitted, add a CRM row and post to Slack" does not need an agent.
- You want to build it yourself. Both are self-serve, and you can start the same day.
- Cost per run is the main constraint. Zapier has a free plan[1], and n8n's self-hosted Community edition is free.[5]
- You need full control of hosting. n8n can run on your own infrastructure.[5]
When OpsAgents AI is the better choice
- You want an outcome, not a workflow. You measure the agent by qualified leads, screened candidates or closed tickets, not by runs.
- The work needs judgement. Replies, documents and edge cases that do not fit a fixed flow.
- Nobody on the team has time to maintain automations. We build, run and improve the agent.
- You need supervision you can explain. Every action runs under SOSA, and per-client isolated deployments are available.
Frequently asked questions
Is OpsAgents AI a replacement for Zapier or n8n?
Usually not. Zapier and n8n are workflow automation platforms that your team builds and maintains; they are the right tool for deterministic trigger-and-action work. OpsAgents AI provides supervised AI agents that own a business outcome end to end, built and operated by us. Many teams use both.
Don't Zapier and n8n have AI agents too?
Yes. Zapier offers Zapier Agents and a Human in the Loop step, and n8n has an AI Agent node with human review for tool calls. The difference is the operating model: with Zapier or n8n you design, prompt, monitor and maintain the agent yourself; with OpsAgents AI we scope, build, run and supervise it under the SOSA framework.
When is Zapier or n8n the better choice?
When the steps are known in advance, the data is structured, you want self-serve control, and cost per run matters most. Zapier bills by tasks and has a free plan; n8n Cloud bills by workflow executions and the self-hosted Community edition is free.
How is OpsAgents AI priced?
Per agent, per month, plus done-for-you setup. For example, the Sales/SDR agent is $249/mo, the Support agent is $199/mo and the Leads agent is $149/mo. The full menu is on the pricing page.
